Job Description

Job Summary
Responsible for providing administrative support to the recruiting team and HR department as needed. Makes non-routine choices within established precedent, considering objectives, under limited supervision. Performs intermediate troubleshooting or analysis; problems require interpretation of data using generally prescribed procedures. Frequent interaction to provide basic information and/or occasional interaction requiring detailed procedural explanations or technical responses.

Responsibilities/Essential Functions
·    Assist walk-in applicants with the online application 

·    Answer questions from applicants and generate responses concerning applicant process and/or status.  Update and send weekly electronic notices to applicants to provide status of their application

·    Assist staffing team to post jobs, review applications, conduct phone pre-screens for openings and assist in the tracking of floater pool.  Set up candidates for various pre-employment testing, including software skills
·    Coordinate pre-employment processes and assist new-hire candidates with documentation

·    Utilize the contracted services of vendors to submit applicant information for the processing of criminal history and sexual offender background checks, employment references, drug screens and various other pre-employment requirements
·    Review all I-9 documentation to ensure compliance and utilize the E-Verify website to submit social security numbers for all new employees within three days of employment

·    Obtain verification of credentials, such as CDA’s, degrees, certifications, registrations, and other licensures from new-hires candidates.  Record, scan and maintain in the HR systems and submit to L&P and site management

·    Scan and submit PDF pre-employment background reports to the ECD Site Directors, including DHS form, completed criminal history report with reference check dates.  Retain other scanned documents to electronic employee files in HR

·    Compile employee personnel, credential, I-9 and medical files, ensuring collection of all data as required, audit information for completeness and place in a tickler file until all data is collected 

·    Maintain filing for personnel, credential, I-9 and background screen files

·    Verify, code and sign HR invoices and route for appropriate approvals

·    Assist HR department staff with administrative duties, as needed

·    Perform other duties as assigned or requested

Required Education/Experience
·    Bilingual preferred
·    Associates Degree
·    3 years of related work experience 


Knowledge/Skills/Abilities
·    Must have proven successful interpersonal relationship skills to maintain effective and satisfactory working relationships with intra-department and inter-department staff, vendors, clients, visitors, and contractors.  
·    Ability to follow oral and written instructions with ability to read, interpret, and present information efficiently and effectively. 
·    Must be able to accurately audit records and ensure compliance with written or oral guidelines.  
·    Ability to take initiative, multi-task and work well under pressure.  
·    Must maintain strict confidentiality of extremely sensitive data, records, files, conversations, etc.  
·    Intermediate-Advanced MS Office skills, advanced database software skills, working knowledge of accounting and budgeting practices.  
·    Advanced organizational skills, efficiency skills and excellent attention to detail with a demonstrated commitment to completing assignments on a timely basis.  

Essential Physical & Mental Requirements
Employee is subject to standing, stooping, walking, lifting, and carrying objects throughout daily job performance.  Work is a normal office environment. Intermittent effort involving lifting of amounts between 5 and 25 pounds required.  Work requires moderate attention to detail and deadlines between 15% and 45% of the time. Driving is required intermittent.
